Full Job Description

As an Administration Assistant on the Buying team, you will play a crucial role in supporting the day-to-day operations of our Buying Department. You'll be responsible for a variety of administrative tasks, managing a variety of internal and external queries for the team as well as updating key company stakeholders with the latest delivery details for out of stock products. Communication is an essential skill for this role as you will liaise with a number of internal departments in the business to ensure swift resolution of issues to prevent them from impacting upon customers. Information is tracked mainly on Excel, and you will need good experience of using this system. The Administration Assistant will also provide cover for Buying Team members on their non-working days and during periods of sickness and annual leave for product set ups and order progression.

Main Duties:

A selection of the main tasks that you will be responsible for are:

· Update the company visibility report and share with key stakeholders.

· Report any significant supply problems to ensure that all relevant departments/functions are kept aware of any changes to delivery schedules.

· Monitor purchase orders and update as required.

· When required, liaise with supply base to manage and monitor the progress of orders - advising Warehouse Teams as necessary regarding delays/prioritising requirements.

· Liaise with Freight Forwarders to manage shipments into appropriate warehouse.

· Liaise with Finance Department with regard to invoice discrepancies and address with supply base.

· Liaise with Customer Service teams to provide improved product knowledge to facilitate correct advice to customers regarding existing and new products.

· Monitor and evaluate current reports to ensure that they are appropriate for the changing nature of the business, and brief the requisite changes to the Data team.

· Liaise with Customer Service and Commercial teams to address product and supplier related issues.

· When required assist with item set up (bar codes / SKU / Storefeeder).

· Liaise with Channel Managers regarding setting products on / off sale.

· Work in conjunction with the Finance Team in monitoring invoices/credits, ensuring that errors are raised with suppliers and liaise accordingly to rectify any queries.

· Maintain up to date records as required.

· Further develop own awareness and knowledge of products and the industry through available media

· Previous experience in a similar administrative or assistant role, ideally within a Buying, Purchasing or Merchandising environment.

· Strong organizational skills and the ability to multitask effectively in a fast-paced environment.

· Proficiency in using various software and systems, with the ability to quickly learn new tools.

· Excellent attention to detail and accuracy in completing tasks.

· Proactive attitude with the ability to work independently and as part of a team.

· Strong communication skills with the ability to interact effectively with colleagues at all levels.

· Flexibility to adapt to changing business needs and priorities.

· Good foundational knowledge of Excel

· Excellent communication skills.

Skills Required:

· Excellent written and verbal communication skills.

· Superb organisation skills

· Proficiency in Microsoft Office suite, including Outlook, Word, Excel, and Teams.

· Strong attention to detail and accuracy.

· Ability to work independently and as part of a team.
