Full Job Description

The overall aim is to provide visibility on mission critical orders and client demands to the procurement team ahead of time to allow us to be one step ahead of the Procurement cycle and prepare for client requirements operationally and commercially. To keep track so nothing gets forgotten and to help us deliver on time and in budget.

It's important for the VIP order manager to be proactive in reaching out to other departments to gather the necessary information and to address any concerns or questions that may arise. This can be done through email, phone, or in person communication. It's also essential to establish a shared platform or system where everyone can access and update information, such as BC, to ensure that everyone is working with the most up to date information.

Responsibilities

  • As VIP order manager will be informed of any new VIP orders through the VIP order tile on BC or directly through the sales team via email, alongside a copy of the order prior to it being loaded on the system.


  • Acknowledges receipt of the VIP Order notification.


  • Keep a centralised log of all orders and order status


  • Begin the process of gathering data on the new VIP order, including the purchase order, due to dates, stock required, and whether it is bespoke or standard stock.


  • Communicate with the Procurement department, as well as any other departments such is Bid Department, External Sales, Quotations and Tenders, to gather the necessary data


  • Provide visibility to the senior team through regular meetings by presenting the latest information on the VIP order, ensuring that the Procurement department and other relevant departments have the information they need to proactively execute the clients demands.


  • Bring all the teams together by highlighting any ambiguity and asking for resolution to get to the next stage.


  • Coordinate regular meetings, sending out progress updates, and ensuring that everyone involved is aware of their roles and responsibilities.


  • Gather all the necessary information and data related to the VIP order and prepare a summary report. The report should include details such as purchase orders, due dates, stock requirements, whether it is bespoke or standard stock, and any other relevant information.


  • You should schedule meetings with the Senior Team presenting the summary report and provide a comprehensive overview of the VIP order, including any challenges and potential risks. The VIP order manager should also answer any questions that the Senior Team may have and provide additional information as needed.


  • The VIP Order Manager should follow up with the Senior team after the meeting to ensure that all questions have been answered and that there is a clear understanding of the status of the VIP order. The VIP order manager should also provide updates on any new developments or changes related to the VIP order

    Pay: £40,000.00-£45,000.00 per year
