Full Job Description

We are looking for a new team member to provide administrative support to the Child and Adolescent Mental Health Service (CAMHS) Senior Leadership Team and CAMHS Early Intervention in Psychosis (EIP) team in Berkshire Healthcare NHS Foundation Trust.

This is a split post, providing admin support to both clinical and admin staff, organising and minuting meetings, diary/data management and the production of letters and reports using digital methods.

The post will include exchanging verbal and written information with patients, staff and carers, other Trusts and organisation relating to appointments, admissions and meetings, requiring tact and diplomacy at all times whilst working autonomously in the absence of line manager. Berkshire CAMHS (Children and Adolescent Mental Health Service) is a multi-disciplinary community-based service that serves a child population of approximately 300,000 across the County. The teams comprise of child psychiatrists, clinical psychologists, family therapists, nurse practitioners, psychotherapists, art/play therapists, social workers and primary mental health workers.,

  • Providing secretarial/admin support to CAMHS SLT & CYP EIP Team.

  • Preparing agendas, collating & distributing papers for sensitive/complex meetings, taking minutes & following up on actions, being aware of deadlines. Assist with planning of events & logistics of the day.

  • Diary management, taking calls, collating & analysing data.

  • Work with colleagues to develop common administration processes.

  • Scheduling Dr's appointments, preparing notes for clinics & booking in patients. Typing correspondence & reports from various sources including EPRO, audiotape & digital files.

  • Maintaining electronic patient record, booking appointments, updating information, activity recording, outcoming appointments & processing referrals/discharges.

  • Ensuring all enquiries are dealt with promptly, producing file notes as necessary on RiO IT system.

  • Cover patient reception as needed, in accordance with other CAMHS administrators.

  • Using eRoster system to input annual leave, training requests & recording sickness absence.

  • Ordering of stationery through P2P system.

  • Completion of recruitment forms (RVAT), assisting with new starter process & training.

  • Maintaining various electronic systems containing patient information.

  • Motivationally reflect on own areas of development & engage in regular support.

  • Any other duties which may be requested by line manager, service manager & teams.
