Full Job Description

The Bid Proposal Editor & Coordinator is responsible for all administrative aspects of proposal development, ensuring security and integrity of all proposal documentation, coordinating internal flow and review of all proposal inputs, coordinating schedules, and directing submission of the final master proposal to production.You will also be responsible for ensuring the writing structure and words usedin the proposal persuasively convey the offer to the customer. You will edit for grammar, punctuation, capitalization, clarity, readability, consistency, and persuasiveness.

Key Tasks

  • Review the solicitation material (RFP, RFI, etc.) to understand proposal deliverables, the structure of the response, applicable conventions, deliverable due dates and any other bid particulars to assist/offload the Bids & Proposal Manager.

  • Assist proposal managers in providing day-to-day supervision of the proposal process as they plan and build high quality, winning responses to requests for proposals.

  • Lead the preparation and submission of small/low complexity proposals (sole source), autonomously and with little guidance by a Bids & Proposals Manager

  • Work collaboratively with a wide range of personnel, including proposal managers, technical and businees subject matter experts, editors, capture managers, contract managers, and subcontractors´ partners to facilitate efficient and effective proposal development

  • Assist the Proposal Manager in developing and maintaining proposal schedules and task assignments to meet deadlines

  • Coordinating/planning meetings, telephone and video conferences

  • Coordinate, manage and maintain configuration control of formatting, editing, and creation of graphics and documents

  • Advising the proposal team on structure, design and layout of proposal documents/templates.

  • Creation of the initial offer documentation (baseline) as a basis for further processing as part of the proposal process in close cooperation with the Bids & Proposals Manager and/or Proposal Writer

  • Ensure setting up and maintaining the systems and tools used, e.g. creating information and collaboration workspaces (e.g. Sharepoint)

  • Text improvement (grammar, flow, readability, accuracy, consistency, clarity)

  • Edit and format proposal material for consistency of message and tone in the overall package of the deliverable

  • Compliance with the Proposal Style Guide and departmental standards

  • Perform final edit of all proposal drafts, Red Team and final versions, and ensure final proposal meets the structure/conventions requirements of the RFP, as applicable

  • Manage the production, reproduction, and binding/packaging of all proposal hard and soft copies and coordinate packaging and shipping activities for proposal deliverables.

  • Support the proposal team in activities to approve work products in accordance with CAE guidelines, e.g. coordination of necessary sign offs, etc.

  • Oversee the maintenance and accuracy of style guides and templates, researching and establishing industry best practices.

    Ideally educated to degree level

  • Several years of professional experience in the field of complex technical projects

  • Experience of bid & proposal preparation

  • Very good knowledge of the MS Office package and similar applications

  • Excellent communication and language skills with the ability to write clearly and concisely.

  • A strong sense of layout and design.

  • Ability to deliver the best results even under great time pressure

  • Ability to work in a team
