Full Job Description

We are currently seeking a detail-oriented and organised Office Administrator/receptionist to join our team. The ideal candidate will be proficient in computerised tasks and have experience with Microsoft Office and Share Point. They will also be customer-focussed and able to provide the highest level of customer service and support to all visitors, learners and staff.

Responsibilities:

Manage office supplies inventory and place orders when necessary

Receipt and dispatch of post

Purchase Ordering of materiel (engineering, electrical, cleaning supplies, kitchen supplies, dry cleaning, uniforms and other ad hoc demands) through our established suppliers

Welcoming of visitors

Answer and direct phone calls
Maintain electronic and hard copy filing systems
Handle sensitive information in a confidential manner
Assist in the preparation of regularly scheduled reports

Provide support to course delivery with tasks such as preparing rooms, course materials and stationery

Ordering refreshments, ensuring cups, plates and cutlery are readily available to support courses and meetings.

Monitoring and reporting on learner academy attendance reporting non-attendance to employers as required.

Staff attendance/fire register control
Manage processes for production and dispatch of in-house training certificates to learners, including maintaining data sheets, trainer signatures, scanning to record and updating training databases

Maintain processes for production and dispatch of external training certificates for awarding bodies such as ILM/EAL/RTITB/IOSH etc and maintain data sheets, update databases and record certificate receipts

Manage RTITB and IOSH course registrations including associated training materials

Manage course materials for staff and learners both online and hard copies.

Competent user of MS Office suite

Experience of using Share Point services

Qualified to L3 in Business Administration

Able to demonstrate good levels of attention to detail

Able to demonstrate good organisational skills and time management,

  • GCSE or equivalent (required), Customer service: 2 years (required)

  • Administrative experience: 2 years (required)
