Full Job Description

  • Ensure the reception desk and Switchboard are manned at all times to ensure that visitors / callers are greeted promptly.

  • Welcome visitors in a professional manner, assist them to sign in / out , ensuring they are aware of the company evacuation procedure.

  • Work as part of the Switchboard team answering incoming calls and redirecting accurately.

  • Provide assistance with booking service for meeting rooms.

  • Ensure that all staff are issued with proximity passes encoded appropriately. Maintain stocks of the equipment required to produce those passes.

  • Ensure that stationery stocks and front of house consumables are maintained.

  • Monitoring and completing worklogs.

  • Record and maintain Facilities records and spread sheets.

  • Log accident and incident reports.

  • Raise and monitor work permits.

  • Ensure all health and safety boards are up to date.

  • Employee mobile phone distribution and record keeping.

  • Raising PO's and reviewing, recording and approving invoices in SAP.

  • Checking and actioning Workrite DSE system.

  • Demonstrate teamwork by co-operating and assisting colleagues as needed.

    Previous receptionist / facilities experience is desirable but not essential.

  • A willingness to help and a team player who enjoys being part of a busy team.

  • Good working knowledge of MS Office tools (Outlook, Excel, Word).

  • Good attention to detail.

  • Excellent communication skills.

  • Professional attitude.
