Full Job Description

To be responsible for providing full administrative support to all members of the safeguarding team
The post holder will manage their own workload and suggest & implement changes as required.
To maintain effective links with internal and external users of the service. Dealing with all telephone queries within the department.
Collate data for safeguarding reports and produce meeting minutes ensuring deadlines are met
To have a complete and up to date knowledge of Microsoft, excel and NHS.Net account systems used within the service.
Organise meetings and support diary management of team members.
To work collaboratively and have an understanding of all the roles within the team.
To organise and prioritise own workload on a daily basis to ensure that time deadlines are met and that urgent work is accommodated.
To maintain strict confidentiality in all aspects of the work, complying with policies and procedures on the safeguarding of personally identifiable information.
To prepare for meetings and to participate, take accurate notes and follow up actions, produce minutes and circulate.

  • Provide administrative support to all members of the safeguarding team.

  • To be a key member of the Trust Safeguarding Children and Adults Board, Integrated Safeguarding Committee and Domestic Abuse Committee. To support in organising agendas, distributing papers to group members, managing attendance registers and minute taking. Transcribe minutes, agree with the named safeguarding leads/ safeguarding advisors, and circulate within timescales.

  • Collate training materials and prepare teaching packs for the delivery of safeguarding training including but not exclusive to: Safeguarding Children & Adults 1, 2, and 3; Prevent (Basic Awareness and WRAP); Domestic Abuse and the Mental Capacity Act.

  • To ensure safeguarding information is uploaded promptly in patient healthcare records.

  • Under supervision enter data and information relating to safeguarding incident reporting.

  • Update staff training records on the Trust's system to ensure timely and accuracy of compliance training figures.

  • Collate data for various safeguarding reporting including quarterly reports and PREVENT returns and work closely with the named leads to collate these.

  • Be able to use a range of computer applications in producing correspondence, training materials and reports, which may include Individual Management Reviews (IMRs), Child Safeguarding Practice Reviews, Serious Case Reviews (SCRs), Serious Adult Reviews (SARs) and Domestic Abuse Related Death Reviews.

  • Organise/ prioritise own time to complete tasks within specified timescales, and to work unsupervised as and when necessary.

  • To assist in the distribution of safeguarding guidelines, standards, policies, and resources both electronically and by post.

  • To assist when required and with guidance with audits including maintaining databases and producing audits in a presentable format.

  • Manage the diaries of the Named Nurse Safeguarding Children, Head of Adult Safeguarding and Specialist Safeguarding advisors.

  • With training help maintain the trust safeguarding Intranet pages

  • Ensure that deadlines are met, and tasks are handled in an effective and timely way.

  • Open (non-confidential), sort, log, distribute and prioritise incoming mail for the team using judgment and experience to decide where documents are passed.

  • To report immediately any immediate concerns that cannot be resolved by the post holder to the appropriate Named Lead or Specialist Safeguarding advisor.

    Flu Vaccination - What We Expect of our Staff
    At The Royal Marsden we have an immune compromised patient population who we must protect as much as we can against the flu virus. Each year, seasonal flu affects thousands of people in the UK. Occurring mainly in winter, it is an infectious respiratory disease capable of producing symptoms ranging from those similar to a common cold, through to very severe or even fatal disease.
    The wellbeing of our staff and patients is of the upmost importance to us, and it is the expectation of The Royal Marsden that all patient-facing staff have an annual flu vaccination, provided free of charge by the Trust.

    We have an exciting opportunity for a hardworking, attention to detail administrator who would like to work in a designated safeguarding team at the Royal Marsden NHS Trust (Sutton site). Previous administrative experience is an essential requirement of the role as well as an ability to work on your own initiative with competing priorities and deliver to deadlines. Excellent skills in communication, organisation and adaptability are essential to this role, as well as being kind, compassionate and personable. The post holder must also have:
    Excellent working knowledge of Microsoft Office
    Experience in minute-taking
    Excellent communication skills, written and verbal.
    Skills in prioritising changes to their workplan
    The ability to prepare and interpret statistics and data.
    The role requires some exposure to sensitive and often distressing areas of safeguarding work; however, this is within the parameters of administration work, and we are a supportive and friendly team who will support you to do the role. Within the safeguarding team we are flexible in how we work, ensuring a balance between the requirements of the role and a healthy work-life balance.
